Sea Shepherd sees the key threats to ocean as: plastic pollution, illegal fishing, climate change, and threats to vulnerable and endangered species.

About the role: 

We are a passionate and diverse team spread across the country with Williamstown as our hub. As the main point of contact for this organisation you will be at the helm, communicating with our committed supporters and volunteers via phone and email, as well having the pleasure of greeting any interested passers-by as they pop into the office at Sea Works Maritime Precinct to check out our world famous merchandise.

This is an incredibly varied and crucial administration role. The Administration Coordinator is a pivotal key member of the team, being the bridge between our supporters and our staff. You will also be the voice of the organisation, having the privilege to engage with our loyal supporters each day.

You must be comfortable working independently and be confident with virtual and online communication methods as many of our team are dispersed across states. You won’t be alone though, we have a small and friendly team currently based at the office.

The candidate: 

We are seeking a motivated, values-driven person with a passion and understanding for Ocean Conservation. This role will suit someone who is self-motivated, exceptionally organised, with the ability work independently. Due to the varied nature of this role, it will suit someone with a can-do attitude and a flexible approach to tasks. This is a busy role in a small but passionate team.

A successful candidate will have: 

- Currently have, or be willing to gain knowledge and understanding of current marine environmental issues.

- Currently have, or be willing to gain Knowledge and understanding of current Sea Shepherd Campaigns.

- Good working knowledge of Microsoft Excel, Word and Outlook

- An eye for detail

- Knowledge of MYOB will be advantageous but not essential

Job description:

- Provide high level of administrative support to a small and geographically diverse team. This includes word processing, document preparation, information collation and reporting, database and spreadsheet management

- Use of Microsoft Office including Outlook, Word, Excel, PowerPoint and OneDrive

- Managing the australia@seashepherd.org.au account by responding to general enquiries and forwarding other enquiries to relevant departments

- Fielding phone enquiries

- Receiving and sorting mail and postage of outgoing parcels

- Adhere and implement office OH&S guidelines 

- Effective coordination of office supplies including orders and maintaining sufficient supply levels.

- Coordinating the filing and record keeping system of hard and soft copy records including maintaining accurate records of archiving, electronic filing structures and systems.

- Liaise and provide support to Melbourne Chapter volunteers – kit pick ups, education talks, upkeep of auditorium.

- Liaise with Seaworks regarding events, access to site, and maintenance of building.

- General office upkeep – cleaning of office space, auditorium, garden maintenance and bathroom.

- An eye for detail

- When time allows, assistance may be requested by other departments that may be short handed. Requests on an adhoc basis.
